Editor's Notes
Introduction to the team
Everything SharePoint
Internal products in Umlindi, Umlindi 365 and A-Team
Microsoft tells us to:
Throughout the market we hear the following statements of intent by companies, large and small. Firstly our mail is currently either being managed internally and always going down, or is a managed service that we are paying an arm and a leg for. We ned a secure managed email environment that is enterprise ready. We need to share calendars and tasks as well as book resources in the enterprise
Secondly as the world of business expands we need to communication better both internally within departments and across departments, not to mention across different regions. We also want to reach out to and meet with our clients, hold online meetings and share information, even support our clients across the screen.
Finally we need to consolidate our documents and information, we are using dropbox and fileshares, but we can never find any of the information. When our auditors arrive we have no way of tracking the versions of documents or understanding what processes have been followed against the documents. At the same time we want to collaborate around documents, tasks, projects and events that we want to track in one place. We need a way to find documents and information more easily… oh and we need a leave tracking system, whilst you at it we want to integrate to VIP for payroll and Accpac for accounting. Oh and can we keep our website on their too, oh and can we share our information with clients, like an extranet
We don’t want to manage our own server, what is the most cost affective solution for us….
If you are lucky enough to have a service provider working for you to give you advise, invariably that vendor will go away, and being a Microsoft house, and rightly so, will comeback with the solution of Office 365. There will be some discussion fof 5 minutes about google docs and you will say – I want everything to work with my office tools, I want a consistent experience and I want to leverage my current licensing. Alternatively you diligently ggo scouring the net for a solution and voila quite shortly you come across Office 365 and you order your trial version, so Office 365 it is.
You get Exchange to meet your mail and mail archiving needs
Lync caters for the communications, meetings sharing desktops requirements
SharePoint for everything else: document storage and management, collaboration, integration
Now you need to start planning your strategy, you think through the items that you now need to tackle to implement this system and Office 365 lays this out nicely for you in the admin screens when you log on.
1) Clean up Mail and Excahnge and migrate it – Sort out MX records and everything else required to point your mail to the right location
2)Set up Phones for voip using your Lync communication tool
3) You pull together DNS record for your website so you can determin where to point your new site to
4) You go through the laborious task of identifying where all your documentation sits
You are now ready to Harness the power of Office 365

Then the big question always arises… NOW WHAT
I have this strategy – I have the tool / platform to do all of this, but how do I actually do it. Everything says to me this is a one stop shop that I can configure myself… but seriously I know nothing about Exchange, I haven’t ever seen SharePoint before and if I have its very different to what I see online. But how do I go about achieving what I need to. My IT team although no longer managing servers are too busy to assist and in many cases cannot, as they don’t understasnd the tool or how to build against it.
